This Privacy Policy governs the manner in which ProCollabs collects, uses, maintains and discloses information collected from users (each, a "User") of the www.procollabs.com website ("Site"). This privacy policy applies to the Site and all products and services offered by ProCollabs.
Personal identification information
We may collect personal identification information from Users in a variety of ways, including, but not limited to, when Users visit our site, register on the site, and in connection with other activities, services, features or resources we make available on our Site.
Users may be asked for, as appropriate, a real name, contact information, general location information and timezone, as well as for information about their musical career or background and experience, among others. We will collect personal identification information from Users only if they voluntarily submit such information to us. Users can always refuse to supply personally identifiying information; however, members of ProCollabs are screened prior to joining the site so in chosing not to provid ProCollabs with certain required information it may prevent them from becoming a member, or in engaging in certain Site related activities.
Non-personal identification information
We may collect non-personal identification information about Users whenever they interact with our Site. Non-personal identification information may include the browser name, the type of computer and technical information about Users means of connection to our Site, such as the operating system and the Internet service providers utilized and other similar information.
Web browser cookies
Our Site uses "cookies" to enhance User experience. A Cookie is a simple text document stored and used by your browser that can be accessed and used by the ProCollabs.com website. Cookies are necessary on ProCollabs as a means to maintain a users session on the site and to store preference information. Users may choose to set their web browser to refuse cookies, or to alert you when cookies are being sent. If they do so, note that the Site may not function properly.
Analytics and Google services
With your consent, we use Google Analytics 4 (Google Ireland Limited / Google LLC) to understand how the Site is used (pages viewed, approximate location, device and browser, referral source). Analytics is off by default: Google Analytics cookies (_ga, _ga_*, which last up to 14 months) are only set if you click "Accept" on our cookie banner. If you click "Reject" (or your browser sends a Global Privacy Control signal) no analytics cookies are set. Google may still receive limited, cookieless pings without cookies or persistent identifiers. We do not send your name, email address or account identifiers to Google Analytics, and we strip email addresses and security tokens from page addresses before they are sent. Our legal basis is your consent, which you can withdraw at any time via the "Cookie settings" link in the page footer. If you are signed in, your choice (accept or reject) and the date you made it are also saved on your account so that it applies on your other devices; closing your account erases that record. Analytics data is retained for 14 months. Google acts as our processor and may transfer data outside the EEA/UK under its standard contractual clauses; see Google\'s privacy policy.
Anonymous usage statistics (no cookies)
We also measure how the Site is used with Umami, an analytics tool that we host ourselves, so this data is not shared with any third party. It uses no cookies and stores nothing on your device. It records the pages viewed (with email addresses and security tokens removed from addresses), the referring site, browser, operating system, device type, screen size, language, approximate location (country, region and city, worked out from your IP address at the time of the visit), whether the visitor is signed in (but not who they are), and actions such as signing up or uploading a file. Your IP address is not stored: visits are counted using a one-way code made from your IP address and browser that changes every month, so a returning browser on the same connection is recognised within the same calendar month but not across months, and we cannot identify you. We use this, based on our legitimate interest in understanding and improving the Site, only to produce aggregate statistics, and keep it only for as long as it is useful for that purpose. You can object at any time: turning on Do Not Track or Global Privacy Control in your browser stops it, or opt out of anonymous usage statistics in this browser (click again to opt back in).
Our sign-up form is protected by Google reCAPTCHA v3, which analyses browser and interaction signals to detect bots. This is based on our legitimate interest in keeping the Site secure, and is subject to Google\'s Privacy Policy and Terms of Service.
Sign-up fraud and spam screening
When you submit the sign-up form we record your IP address, your browser (user agent) information, how long the form took to fill in, and the reCAPTCHA score, and we check your IP address and a one-way code (MD5 hash) of your email address against the StopForumSpam.com spam database, check whether your email domain is a known throwaway address service, and look up which network provider your IP address belongs to (using a database held on our own server). The results are combined into a score that our team uses when reviewing your membership application. Automatic refusal: if the score shows very strong signs of fraud or an automated sign-up (several independent checks agree), the sign-up is refused automatically when you submit the form, without a person looking at it first, and you see a message that your registration could not be completed. Every other application is decided by our team. If your sign-up was refused and you think this is a mistake, you can ask for a person to review the decision, give your point of view and contest it by contacting us through the Contact Us page. Please do so within 7 days: after that the details of a refused sign-up are deleted (we keep only the score, your email domain, i.e. the part after the @, and which checks were triggered, to tune the checks). You can also simply apply again at any time; a new application with the same email address replaces the refused one. This is based on our legitimate interest in keeping the Site free of fraudulent and automated accounts. Your IP address, browser information and the screening details are deleted 90 days after you sign up (immediately if the sign-up is cancelled or expires); the overall score is kept with your account.
Your rights
Depending on where you live (for example under the GDPR/UK GDPR or the CCPA/CPRA) you may have the right to access, correct, delete or export your personal information, to object to or restrict processing, and to withdraw consent. To exercise these rights, please Contact Us. You may also lodge a complaint with your local data protection authority. If you delete your account yourself, your projects, uploads and audio files are removed immediately; your profile, settings and email address are kept for 30 days so that you can reactivate the account if you change your mind, and are then erased permanently.
